Who we are

Vix House is the client-facing studio related to VixAI Ltd, a company registered in the United Kingdom. This site is vixhouse.com. Enquiries go to info@vixhouse.com.

What we collect

If you send a project request, we collect the name, email and any business details you choose to write — website, type of business, what needs to improve or be built, how the process works today, intended users, outcomes and optional notes.

The server also stores a time, the language of the page, a hashed form of the network address used to limit abuse, and an irreversible fingerprint of the submitted fields used to stop exact duplicate requests.

To understand whether the site is useful, we count a short allowlist of first-party events such as page views, diagnosis-button clicks, WhatsApp clicks, form starts and completed requests. We store the route, language, referrer host and campaign tags when present. A random tab-scoped session code connects those steps and disappears when the browser session ends. It is not an advertising identifier and never includes form answers, names, email addresses or message contents.

If you contact us on WhatsApp, we receive your phone number, profile name and the messages you choose to send. A voice note may be transcribed, and an image may be read, so that the automated assistant can answer. Do not send payment details, passwords, medical records or other information we do not need.

We do not ask for payment details on this site. We do not run advertising pixels on these pages.

Why we use it

We use this information only to understand the business problem, the current process and the work you may need, then respond to your enquiry. We do not add you to a marketing list. We do not sell the note.

WhatsApp replies may be generated by an automated assistant. The assistant is instructed to identify itself and to hand the conversation to the studio when a person is needed.

How long we keep it

We keep an enquiry long enough to reply and, if work follows, to run the engagement. If nothing follows, we do not keep it longer than we need for that reply and for basic security.

WhatsApp conversations that do not become an engagement are removed from the studio system after 90 days. Copies retained by WhatsApp or another service provider follow that provider's retention rules.

First-party marketing events are kept for no more than 180 days so we can compare acquisition and form performance over time.

Who sees it

The studio reads the request. Hosting for this site sits on infrastructure we operate. We do not pass the form to an advertising network.

When email notifications are enabled, Zoho Mail carries a copy of the request to the studio mailbox so it can be answered. The notification contains the same details submitted through the form; it is not used for marketing.

WhatsApp and its provider Meta carry the message. When the automated assistant is enabled, OpenAI may process message text, voice-note audio or an image to prepare a response. These providers may process data in other countries under their own data-protection terms and safeguards.

Your rights

You may ask what we hold, ask us to correct it, or ask us to delete it, by writing to info@vixhouse.com. If you are in the United Kingdom or the European Economic Area, you may also contact your local data authority.

Language

English is the default language of this site. On a first visit we may open the Portuguese version if the browser language is Portuguese or the network address is in Brazil. You can change language at any time in the header. We store that preference in a cookie so the site does not keep guessing. We do not use the address or the language for advertising.

If this policy changes in a material way, we will update the date above. The contact form and the optional WhatsApp channel are the places where this site invites you to provide personal information.

Personalised proposals and emails

Purelymail transports our individual proposal emails and replies. Future proposal emails include an individual link and a small remote image so the studio can follow approximate opens, link accesses and proposal pages viewed. These signals are associated with the original recipient and proposal; forwarded links remain associated with that original email. They do not prove who read a message.

Mail applications may fetch images automatically, block them or scan links. We display these signals separately. We keep event timestamps and the proposal option for at most 180 days, without storing raw IP addresses, user agents or browser fingerprints in these records. We do not use advertising cookies. Browser requests with Do Not Track or Global Privacy Control are excluded. You may request that we stop this follow-up or delete its records by emailing vixhouse@vixhouse.com.
